## Collection users

The [collection manager](https://appfire.atlassian.net/wiki/spaces/AHP/pages/649531257) is the space administrator who created the collection. The collection manager configures the collection permissions to manage the Confluence users and user groups who

- can view the collection ([collection viewers](https://appfire.atlassian.net/wiki/spaces/AHP/pages/649792746))
- contribute to the collection ([collection contributors](https://appfire.atlassian.net/wiki/spaces/AHP/pages/649531433))

> 📝 The collection manager must be a space administrator and be a member of the user group added to **Snapshot Publishers** in the app global configuration.

## Creating a collection

A **[collection ](/wiki/spaces/AHP/pages/615023514)**[can be created](/wiki/spaces/AHP/pages/615023514) by a space administrator in any space that is enabled for snapshot publishing using the space tools snapshot publishing dashboard.

> 📝 A space enabled for snapshot publishing creates a default collection for the space. This collection name is the **spacekey** for the space.

To [create a new collection](https://appfire.atlassian.net/wiki/spaces/AHP/pages/649790626) in the space

- choose the **Add Collection** button

And add the following details for the collection

- name
- description
- Confluence users and user groups who can view the collection
- Confluence users and usergroups who can contribute snapshots to the collection

The collection is added to the snapshot publishing dashboard in the current space.

On a Confluence document in the space, the added collection will be available as a collection option in the snapshot publishing popup to add a snapshot document.

> ℹ️ If a user is not added as a **contributor**, the collection will not be available to add a snapshot document in the snapshot publishing popup for that user.

## Managing collections in a space

A space administrator manages collections that are linked to a space using the space snapshot publishing dashboard.

A space administrator can

- [link a collection](https://appfire.atlassian.net/wiki/spaces/AHP/pages/650348255) from another space using the **Link Collection** dropdown menu to select the collection
- [manage existing collections](https://appfire.atlassian.net/wiki/spaces/AHP/pages/649858264) added to a space using the ellipsis menu option for each collection
- manage the snapshots added to each collection using the ellipsis menu option for each collection

[Linking a collection](https://appfire.atlassian.net/wiki/spaces/AHP/pages/650348255) created in another space allows users in the current space to add snapshots from the space to that collection

The ellipsis menu option for each collection is used to [manage an existing collection](https://appfire.atlassian.net/wiki/spaces/AHP/pages/649858264) in the space

- **Edit** to change the collection settings - name, description, viewers, and contributors
- **Remove** to delete collection (deletes the collection from the instance and it will no longer be accessible)
- **Unlink** to unlink the collection from the current space (no additional snapshots can be added to the collection from this space)

> 📝 The** Edit** and **Remove** options will only be accessible if the current space administrator is also the collection manager for the collection.

## Viewing collections

Collections and the snapshot documents added to each collection are viewed using the [Collections global viewer](https://appfire.atlassian.net/wiki/spaces/AHP/pages/650119475) in the Confluence header menu bar.

For the current user, the [viewer](https://appfire.atlassian.net/wiki/spaces/AHP/pages/649792746) is displayed in the **My Collections** sidebar the collections

- created by the user (user is the [collection manager](https://appfire.atlassian.net/wiki/spaces/AHP/pages/649531257))
- with current user view permission (the user has been added as a [collection viewer](https://appfire.atlassian.net/wiki/spaces/AHP/pages/649792746))
- with current user contributor permission (the user has been added as a [collection contributor](https://appfire.atlassian.net/wiki/spaces/AHP/pages/649531433))

Choosing a collection displays the snapshots in the collection.

The [viewer](https://appfire.atlassian.net/wiki/spaces/AHP/pages/649792746) displays the selected snapshot document

- in HTML or PDF format
- [metadata](https://appfire.atlassian.net/wiki/spaces/AHP/pages/650249304)

> ℹ️ The **View** option in the [snapshot publishing popup](https://appfire.atlassian.net/wiki/spaces/AHP/pages/649856621) on a Confluence page with an existing snapshot can also be used to open the [collections global viewer](https://appfire.atlassian.net/wiki/spaces/AHP/pages/650119475).
