This section provides information on how to configure Surveys for Jira Cloud.

## Sending emails

By default, emails are sent from the Appfire mail server. No configuration is required on your side.

If you want to use your own mail server, you can configure a custom SMTP server:

1. Log in as a user with Administrator permissions.
2. In a Jira project, go to the project settings.
3. On the left panel, click **Project SMTP Configuration** and enable **Custom configuration**.
4. Fill out the fields.
5. Check and save your settings.

The SMTP server configuration applies to all surveys within your Jira Cloud instance. It is not possible to use different SMTP settings per project.

Microsoft 365 and Office 365 mailboxes are not supported.

### Example: Gmail SMTP settings

To send emails from a Gmail address, enter the following SMTP settings:

| --- | --- |
| **SMTP port** | 465 |
| **SMTP auth user** | Your Gmail address |
| **SMTP auth password** | A Gmail **App Password** (see below) |
| **SMTP reply-to address** | Gmail or any email address you want recipients to reply to |
| **SMTP from title** | Your Google account name will appear here |

Google no longer supports the older "less secure apps" access setting. To use Gmail SMTP, you must enable 2-Step Verification and generate an **App Password**:

1. Turn on 2-Step Verification for your Google account: [https://myaccount.google.com/security](https://myaccount.google.com/security)
2. Create an App Password and use it as the **SMTP auth password** above: [https://myaccount.google.com/apppasswords](https://myaccount.google.com/apppasswords)

Use the 16-character App Password (not your regular Gmail password) in the SMTP configuration.

## Access to user emails

For surveys to be sent, recipients must have made their email address visible in their Atlassian profile. Due to privacy considerations, Jira cannot send emails to users who have not consented to sharing their email address — even if a ticket matches the trigger conditions for a survey.
