**Key Questions and Answers:**

### 1. How is Re-indexing Initiated?

- Once the app is installed, the indexing is automatically triggered for all the Jira issues. The progress can be tracked on the Getting Started page of the app.
- If/when a customer reports a problem, it can be because of the following cases:
 - Projects may be archived during the installation of the app, so those projects are not part of the initial indexing. Hence, they require indexing.
 - For large instances (for example, with 2 million issues), there are cases where initial indexing is stuck. The customer is expected to run this JQL: `issue.property["jql-search-extensions"].addonVersion.version is empty` on Jira Issue navigator to find the problematic issues that need indexing → Export the issues and share with the support team. The support team will share the file with the development team to manually sync the project data using database scripts to handle the volume efficiently.
 - Post-migration to the cloud, a few customers may observe the indexing stuck without any progress, then the same approach as above can be followed.
- One can monitor the indexing progress under **Apps > JQL Search Extensions for Jira > Getting Started **page. Look for the** App Status**.
- Support agents can check the progress of indexing from the logs in Rapid7 tool.

### 2. Do You Need Site Admin Access to View App Status?

- Any user who has this Global permission has access to view the App Status and monitor indexing progress.

### 3. Does the JQL Search Extensions App Automatically Re-index the filters?

- The app periodically syncs the filters that are used within the last 7 days. One can also sync the filters manually from the Actions menu on the Extended Search filters page.

### 5. Does the App Have Access to My Jira Instance?

- Yes, the app reads issues and writes data back to issue properties in Jira, and it stores data on issues, fields and projects. This behavior is documented under [https://appfire.atlassian.net/wiki/spaces/JQLSEARCH/pages/604209706](https://appfire.atlassian.net/wiki/spaces/JQLSEARCH/pages/604209706) and [https://appfire.atlassian.net/wiki/spaces/JQLSEARCH/pages/604209808](https://appfire.atlassian.net/wiki/spaces/JQLSEARCH/pages/604209808) .

**Troubleshooting and Best Practices:**

1. **For Large Instances:** Re-indexing may take time – the progress estimate can be 200,000 issues per day. Monitor the progress using the app's Getting Started page.
2. **Manual Syncs:** Periodically run manual syncs for critical filters that need up-to-date indexing.
